1. Review of the activities for CNY 2017

1.1   Performances at Bristol Museum and Wai Yee Hong

We helped Bristol Museum and Wai Yee Hong to celebrate the Chinese New Year. We performed two dances, two taiji demos and three songs at the Museum on the 4th of Feb. We also performed two dances at Wai Yee Hong on the 28th of Jan, which was our first time participating Wai Yee Hong’s celebration Event. A short clip of our dance was broadcasted on the local Television (ITV news). During the last a few months, our choir, taiji group and dance group have been worked very hard to prepare these performance. The total of dance members has been increased from 7 to 14. The taiji group has been also attracted many new members.

1.2   Our own party on the 5th of Feb

This year, we first time organised a joint party with Avon Chinese School. Overall, it was a very successful party. The feedback on food was good. All performance went smoothly. We have all agreed that next year we can follow a similar way to celebrate CNY. The head of Avon Chinese School, Linqun Ma also passed her view on this joint party. They are happy with the arrangement and are willing to cooperate with us again next year. This year SGCA had Lottery funding; so we didn’t ask Avon Chinese School to pay shared cost. But for the next year, Avon Chinese School has made clear that they will share half cost.

The main issue this year was the space. Bawa’s hall only allows 250 people, but we had a huge demand on tickets. Next year, we will try to book a bigger room. (Action by rong). We will also increase the ticket price to £8 (£4 this year). Rong suggested to have two different type of tickets: with meal and without meal. This will reduce tension on catering and make more profit. Rong’s view is that £8/per-head  is just about to cover catering cost so no profit at all, but if we charge £2 - £3 for no meal tickets, that money can all go profit.

Action – Rong will contact BAWA (Update - Rong has phoned BAWA about this. They said, we have to wait until the end of the March when their annual booking can be settled.)

2. Finance and fund application

Finance report for the year ended on 31 Aug 2016 has been done by an independent accounting firm. The report was examined and reviewed by all the members in the meeting. Finally all the committee members approved the report and Wayne Song will sign it on behalf of the Committee. SGCA will pay 162 pounds to the accountant firm.

Wayne said we have a balance of 17,500 pounds in the year end, which is below the limit of 18,000 pounds set in our finance policy so we may not expand our spending from now until we see good results of funding income in 2017.

To have good evaluation of our finance status, please inform people to make claims as soon as possible, particularly for CNY activities.

We have recently applied a grant for setting up a centre to help vulnerable Chinese people (from South Gloucestershire Council?)  . This application is successful with 2,000 Pounds funding.

3. Outlook of all the activities from now to summer

1) Choir – will re-start after Easter

2) Dance – still going on every week, one and half hour on Thursdays

3) Taichi – will re-start after Easter

4) English class - We still have funding for the class. But to save money Wayne is contacting the shelter housing in Kingsway, Little Stoke for conducting the class in their common room, which will be negotiated to be free of charge.

5) Help centre and Sports / social activity - According to the funded project we will set up a help centre. Wayne suggested to have a parallel centre to SGCA. But the most other members would like to have the centre within SGCA. After discuss with more members after meeting Wayne agreed to set up this centre within SGCA. The services for the £2000 project will have to be carried out, which include helping people for better information access,  receiving services, application of benefits, improving English etc.

The Thursday sports activity will go on with 4 courts in sports hall, which is also a platform for projects, such as help people, better care etc.
